AML Risk Register 

What is the AML Risk Register?

The AML Risk Register is Checkd's central record of payout activity that may present an anti-money-laundering (AML) or suspicious matter risk at your venue. It gives managers one place to see every flagged matter, review it, record a decision and the actions taken, and keep an auditable trail for compliance purposes.

Who can see it

  • The AML Risk Register is available to users with the Manager user role only. Staff roles cannot see the register or its data.
  • The register is a free add-on, enabled per venue by iDU. If it is enabled for your venue, AML Risk Register appears in the Checkd side menu. If you would like to have this add-on enabled for your venue, please contact iDU’s Customer Success team. This is not a setting you can switch on yourself.

This guide walks through the day-to-day manager workflow on the AML Risk Register; finding a risk that needs attention, reviewing the evidence, recording a decision, and keeping the compliance record complete.

Awaiting Review

The Awaiting Review tab is your work queue and lists every risk that has been flagged but not yet reviewed. Each row shows the risk score, the primary risk trigger of the patron, the amount, the date, and the current risk status.

Actioned Risks

The Actioned Risk tab shows flagged risks that have been actioned. It gives a quick view of the (final) risk status along with the actions taken. To see all of the information relating to a risk, select the View button on a row to open more details. When viewing this list on an iPad, you may have to scroll to the right to see the View button.

How risks get onto the register

Entries arrive in two ways:

1. Automatically added from payouts

Every payout in Checkd is assessed against your venue's configured risk rules (link). Each risk rule that is flagged adds its score to the payout, and the total score results in a suggested risk level; Low, Medium, or High.=

When a manager completes a payout review, that payout will be added to the AML Risk Register if the suggested risk OR the confirmed risk decision (as set by the manager) is Medium or High.

Please note that a payout can appear on the register even when no risk rules were tripped, if a manager rated it Medium or High. Such entries show Manager flagged payout as their risk trigger.

2. Manually added by a manager

Managers can log a risk that wasn't raised during the initial payout. When adding a manual risk the manager will still have to select from the predetermined risks configured in the Settings menu.

There are 2 options when adding a manual risk;

  • Link to payout: Search for the payout by patron name, payout ID or total amount. Once you've selected the right payout, add the risk to it.

  • Enter manually: Select an existing patron (meaning a patron who’s payout has been recorded in Checkd) or create a new one to link the risk to. If you're creating a new patron, you'll be asked to enter their details before the risk can be saved. Manual entries are always marked as "Manual" in exports, so they're easy to tell apart from system-generated ones.

Example: Staff may report suspicious behaviour on the floor, or flag something that wasn't caught during the payout itself. A manual risk like this can be linked to that existing payout, to an existing patron, or to a new patron record created on the spot.

Reviewing a Flagged Risk

Whilst on the Awaiting Review tab, select the Review button on a row of your choice. The review drawer opens and presents the following payout details:

    • Patron & Payout Summary: Name, DOB, phone number (if collected), amount, payment type, date of payout, and venue
    • KYC Details: The patron's occupation, source of funds, and source of wealth. These fields are optional, and you can select Edit to add or correct these fields during the review. Any changes are saved to the original payout.
    • Triggered indicators: Every risk rule that triggered for that payout, with its description.
    • Recent Payout Activity: All previous payouts that have been attributed to this patron.
    • Manager review: Where the manager will identify the risks flagged and the action taken. This process is broken down into detailed steps in the section below.
    • Supporting Documents: This gives the ability to upload supporting documentation eg. CCTV
    • Audit Trail: An intricate breakdown of the payout.

Adding a manual AML risk

Manual risks let a manager put anything on the register: a behaviour observed on the floor, a concern raised by staff, or a matter connected to a payout that the rules did not flag highly enough.

Manual entries live alongside automatic entries, follow the same review workflow, and appear in the same exports (marked Manual so they are always distinguishable).

1. Open AML Risk Register from the Checkd side menu.

2. Select Add manual risk (top right).

3. Complete the form and save.

Both manual and automatic entries write an audit log entry recording who created the risk, its level, trigger, and resulting status.

A few differences to be aware of:

    • If a manual entry isn't linked to a payout, it won't have any payout activity or audit trail. The KYC details will just be the snapshot you originally recorded, shown for reference only in the review drawer.
    • Manual entries stay in place permanently — they're never removed automatically. This is different to system-generated entries, which get withdrawn if the payout's risk rating drops to Low or the payout is discarded.
